What Is Car Carrier Transport Management Software?
Car carrier transport management software is a system for running a vehicle transport business from booking to invoice. It holds the orders, plans which vehicles go on which carrier, keeps the transport documents for every consignment, confirms delivery and turns that confirmation into a bill.
Moving new vehicles is paperwork-heavy and margin-thin. One carrier trip can mean eight customer orders, eight chassis numbers and eight invoices, a lorry receipt and e-way bill details, a delivery proof per car and a driver settlement at the end. When those live in phone messages, spreadsheets and paper slips, carriers leave part-loaded, deliveries wait days to be billed and settlements turn into arguments. Fleet Scanner keeps the whole trip in one record, so the order, the load, the papers, the proof and the money all point to the same trip. For live location and leg-by-leg damage records, see our car carrier tracking software.

Where a Car Carrier Business Leaks Margin
Car carrier margins are made or lost in the office, not on the highway. Empty slots, paperwork errors, late invoices and messy settlements each cost a little on every trip, and car carrier transport management software is built to close all four.
Carriers leave with empty slots
A carrier built for eight cars leaves the plant with five because the remaining orders for that lane were sitting in a separate sheet. Every empty slot is freight you paid to move and never billed. A shared order book and load plan fills the deck before the truck is released.
Documents multiply with every vehicle
One carrier trip can mean eight invoices, eight chassis numbers and the lorry receipt and e-way bill details that go with them. Typed by hand at the gate, a single wrong chassis number stops a truck at a check post or delays a dealer receiving the car.
Freight is billed late, or not at all
Delivery happens on the road, but the invoice waits for paper proof to reach the office. Detention at the dealer, extra kilometres and return loads get forgotten along the way. Billing from confirmed deliveries closes that gap and shortens the time to cash.
Advances and settlements do not add up
Drivers carry cash for tolls, fuel and loading charges. When advances are written in a diary and expenses come back as crumpled receipts, settling a trip takes days and disputes are common. Recording both against the trip makes settlement a calculation, not a negotiation.
What Runs Inside Car Carrier Transport Management Software
Each module below handles one step of a carrier trip and hands its record to the next, so nothing is retyped between the order desk, the gate, the dealer and accounts.
Order and Booking Management
Take dispatch requests from OEMs, stockyards and dealer groups into one order book, with the vehicles, pickup point, destination and promised delivery date. Nothing is planned from a phone message again.
Customer management →Load Planning and Dispatch
Assign orders to carriers by lane and capacity, so a carrier leaves full rather than half loaded. Pick the carrier and driver, set the route and release the trip from one screen.
Load and dispatch →LR and e-Way Bill Records
Create the lorry receipt for each consignment and hold the e-way bill details with it, so the paperwork that travels with the carrier matches what was loaded, vehicle by vehicle.
LR / Bilty →Delivery Proof at the Dealer
The driver records delivery on the mobile app with photos, the receiver’s signature and a GPS time stamp. Proof reaches the office the moment the car is handed over, ready for billing.
Proof of delivery →Freight Billing and Settlement
Raise the invoice from confirmed deliveries using the rate agreed with each customer, per vehicle or per trip, and add detention or extra kilometres where they apply. Driver advances and expenses settle against the same trip.
Freight billing →Trip Profitability and Reports
See revenue, fuel, tolls, driver cost and empty running for each trip, lane and customer. The lanes that lose money show up in the report instead of at the end of the year.
Reports hub →How a Carrier Trip Moves Through the System
This is one carrier trip from the moment an order arrives to the moment it is billed. Each step adds to the same trip record, which is what makes same-day billing possible.
The booking comes in
A dispatch request from an OEM or dealer group is entered once, with the vehicles, chassis numbers, pickup, destination and promised date. It is now visible to everyone who plans loads.
The carrier is filled
Orders for the same lane are grouped onto one carrier up to its capacity. Carrier, driver and route are assigned, and the trip is released with its planned revenue already known.
Paperwork leaves with the truck
The lorry receipt and e-way bill details are recorded against each consignment before gate out, so what the carrier carries and what its papers say are the same list.
Proof turns into an invoice
Delivery is confirmed at the dealer with photos and a signature. The invoice is raised from that confirmation and the driver’s trip is settled, closing the trip the same day.
The Paperwork Behind Every Load
Every vehicle on a carrier is a separate invoice with its own chassis number, and every consignment needs its transport documents to match the truck carrying it. Car carrier transport management software keeps those records tied to the trip.
One LR per consignment
The lorry receipt is the transporter’s record of what was accepted for carriage and for whom. Fleet Scanner creates it from the order, so the vehicles listed match the vehicles loaded.
Details held with the trip
New vehicles move under e-way bills, and the vehicle number on them must match the carrier actually used. Keeping the e-way bill details with the trip makes a change of carrier hard to miss.
Vehicle-level records
Each car carries its own invoice and chassis number. Holding them against the consignment means a dealer query about one vehicle is answered from the trip record, not from a stack of paper.
National and state permits
Carriers often run interstate. Permit, fitness, insurance and PUC dates sit against each carrier with reminders, so a truck is not stopped mid-route for an expired document.
Long vehicles, set routes
Car carriers are long and tall, which rules out some roads and loading points. Planned routes are saved per lane so the same safe route is used trip after trip.
Licences and trip history
Heavy vehicle licence class, expiry and every trip a driver has run are kept together, so allocation and settlement both draw on the same record.
Please note: Fleet Scanner records and organises your transport documents. It does not replace the GST or e-way bill portals, give tax advice, or confirm that a document is legally complete. Document rules change and can differ by state and product. Confirm what applies to your consignments with your tax advisor and your customers before relying on anything here.
Car Carrier Transport Terms, Explained
The words used on the order desk and in billing, and what each one means on this page.
- Load plan
- The allocation of orders to a carrier for one trip, up to the number of vehicles the carrier can hold.
- Slot
- One vehicle position on the carrier deck. A carrier leaving with empty slots is carrying less freight than it could.
- LR (lorry receipt)
- The transporter’s document confirming goods accepted for carriage, the consignor, the consignee and the route. Also called a bilty.
- e-Way Bill
- The electronic document required under GST for moving goods above the notified value, carrying the invoice and vehicle details.
- POD
- Proof of delivery. Confirmation that a vehicle was received, usually with a signature, photos and the time of handover.
- Freight per unit
- A rate charged per vehicle carried, common in car carrier contracts, as opposed to a rate per trip or per kilometre.
- Detention
- A charge for time a carrier is held beyond the agreed free period, typically while waiting to load or unload.
- Return load
- A booking for the empty trip back after delivery. Every return load found reduces the cost of running empty.
Who Uses Car Carrier Transport Management Software
If you are paid per vehicle moved and your office is buried in orders, documents and settlements, this page is about you. Fleet size matters less than the number of vehicles moved each month.
- Car carrier transport companies Operators moving new vehicles for one or more manufacturers, who need orders, loading, papers and billing in one place.
- OEM logistics partners Contracted transporters handling outbound plant dispatch, where vehicles, chassis numbers and invoices must be matched exactly.
- Dealer group transport teams Groups moving stock between their own showrooms and stockyards, billing branches internally for every movement.
- Two wheeler and tractor carriers Fleets moving high volumes of smaller vehicles, where the number of units per trip makes document handling the biggest workload.
- Stockyard and hub operators Businesses that store vehicles and release them onto carriers, who need orders and dispatch to line up with what is on the yard.
- Used car and auction logistics Companies moving vehicles one or two at a time on many short trips, where billing each move quickly matters most.
Spreadsheets, Tracking App, or Fleet Scanner
A tracking app tells you where a carrier is. It does not fill the carrier, print the lorry receipt or raise the invoice. That is the work car carrier transport management software takes off your office.

Car Carrier Transport Management Questions, Answered
Short answers to what car carrier owners and their accounts teams ask us most often.
What is car carrier transport management software?
Car carrier transport management software runs the business side of moving vehicles by road: taking orders from manufacturers and dealers, planning which cars go on which carrier, creating the lorry receipt and e-way bill details, confirming delivery, billing the customer and settling the driver. Fleet Scanner does this on the same platform as GPS tracking, maintenance and compliance.
How is it different from car carrier tracking software?
Tracking software answers where a carrier is and what happened on each leg of the journey, including damage traced to the leg it occurred on. Transport management software answers what to load, what papers go with it and what to bill afterwards. Fleet Scanner covers both; our car carrier tracking software page explains the tracking side in detail.
Can it bill per vehicle rather than per trip?
Yes. Each customer can have its own rate, per vehicle moved, per trip or per kilometre, and detention or extra charges can be added where the contract allows. Invoices are raised from confirmed deliveries, so the vehicles billed are the vehicles delivered.
Does it create the lorry receipt and e-way bill?
Fleet Scanner creates the lorry receipt from the order and holds the e-way bill details against the consignment and carrier. Generating the e-way bill itself on the government portal depends on your setup and access; the record in Fleet Scanner keeps the vehicle and document details matched.
How does it help fill carriers?
All open orders sit in one order book, grouped by lane. When a carrier is planned, the planner sees every order waiting for that lane and assigns them up to the carrier’s capacity. Reports then show fill rate and empty slots by lane over time.
Can drivers record delivery on their phone?
Yes. The driver app records delivery with photos, the receiver’s signature and a GPS time stamp. The proof is available in the office immediately, which is what allows billing on the same day as delivery.
How are driver advances settled?
Cash advances and trip expenses such as tolls, fuel and loading charges are recorded against the trip. When the trip closes, the balance owed to or by the driver is calculated from those entries instead of reconciled from receipts afterwards.
Can we run it on our own server?
Yes. Fleet Scanner is available as a cloud plan and, on the Enterprise tier, as a self hosted or white label setup on your own server. Operators working under manufacturer contracts often choose self hosting to keep order and billing data inside their own network.
