What Is Mining Fleet Management Software?

Mining fleet management software is a system that tracks every dumper, tipper, excavator and support vehicle working at a mine, counts the trips each one makes, records the diesel and running hours they use, and keeps the trip papers that state mining rules ask for.

It is also sold as a mining vehicle tracking system, and in India the two names usually mean the same thing, because tracking and reporting arrived together with the rules. A mine is a hard place for software. Vehicles work far from town, mobile signal comes and goes, diesel goes in from a bowser instead of a pump, and one truck taking a shortcut past a checkgate can turn into a penalty. Fleet Scanner puts tracking, trip counting, fuel, machine hours, repairs and document records on one screen, for the pit and for the road outside it.

The Daily Problem

Where Money Quietly Leaks at a Mine

Mining moves in tonnes, but the losses show up in small pieces. A trip that was never written down. Fifty litres of diesel nobody can explain. A machine on hire that worked five hours and was billed for nine. None of it looks big on its own, and all of it adds up by the end of the month. Good mining fleet management software is really just a way of catching those small pieces before they leave.

Uncounted trips

Trips are counted on paper

A tally sheet at the weighbridge, a register in the pit office, and a driver's own count. When the three do not match at month end, the argument starts and nobody can prove anything. Counted trips settle it.

Unexplained diesel

Diesel goes missing at remote sites

There is no fuel pump near the pit, so diesel arrives by bowser and gets filled by hand. Without a record of how much went into which machine and how far it then ran, a slow leak of fuel looks exactly like normal work.

Route deviation

Trucks leave the approved route

A shortcut that skips a checkgate, a stop that was never planned, a load that reaches somewhere it should not. State mining departments now watch route deviation closely, and the penalty lands on the owner, not the driver.

Idle machine hours

Machines sit idle and still cost money

An excavator on hire is paid for by the hour. If it idles for three hours waiting for tippers, that time is still on the bill. Engine hours against actual working hours show you exactly where the day went.

Built For Pit and Road

What Runs Inside Your Mining Fleet Management Software

Each of these is a working module in Fleet Scanner, not a paid add on. They share one set of data, so a fuel entry, a trip count and a service due date all point back to the same machine.

Live Tracking for Dumpers and HEMM

Follow tippers, dumpers, water tankers and support vehicles on one map with speed, ignition and halt time. Play back any trip from any past date when a question comes up.

Lease Area and Haul Route Zones

Draw the lease boundary, the loading point, the weighbridge and the delivery yard. Get an alert the moment a vehicle enters, leaves, or wanders off the road it was meant to take.

Geofencing →

Trip and Load Counting

Every run between the loading point and the delivery point is recorded as its own trip with time, distance and duration. Trip counts per vehicle, per driver and per contractor stop being a matter of opinion.

Trip operations →

Diesel Monitoring and Drop Alerts

Log every bowser fill against a machine, and where a fuel sensor is fitted, get an alert on a sudden drop. Compare litres used against distance run or hours worked to see which machine is off pattern.

Engine Hours and Service Plans

Set service intervals by hours or by kilometre so filters, hoses and undercarriage work are planned. Dust and vibration are hard on machines, and planned downtime always costs less than a breakdown in the pit.

Maintenance →

Owned and Hired Equipment Register

Keep every excavator, loader, dozer, drill, crane and DG set in one asset list with its documents, hire rate and contractor. Hired machine hours sit next to the bill you are being asked to pay.

One Load, Start To Finish

How a Single Trip Is Recorded

This is the same run your tippers already make. The difference is that every step writes itself down instead of waiting for someone to remember it. This is the part of mining fleet management software you feel on day one.

fleetscanner — haul cycle
ST-01 · At the face

Loading starts the clock

The tipper enters the loading zone and the trip opens on its own. Waiting time before loading is recorded too, which is usually where the day is lost.

ST-02 · Leaving the lease

Out through the gate

Crossing the lease boundary and the weighbridge zone is stamped with a time and a location, so the dispatch record and the trip record agree.

ST-03 · On the haul road

Route and speed watched

If the vehicle leaves the approved road, halts somewhere unplanned, or crosses the speed limit, the control room knows while it is happening.

ST-04 · At delivery

Trip closes itself

Reaching the delivery zone ends the trip. Distance, running time, halts and diesel for that run are saved against the vehicle, the driver and the contractor.

Rules and Records

Keep Mineral Transport Records Audit Ready

Mineral movement in India is watched more closely every year. Vehicles carrying sand, stone, coal, iron ore or other minerals travel on an electronic transit pass, and state mining departments run their own tracking portals that expect a registered AIS-140 device on board. What your mining fleet management software has to do is keep the record straight, so that when someone asks, you can show rather than argue.

Transit pass

Trip records that match the pass

Every trip carries its own start time, end time, route and duration. That is the same information an eMM-11, Form C or ISTP pass is checked against when a load is stopped.

State portals

Made for registered devices

State portals such as MineMitra and e-Rawanna expect an approved VLTD fitted and registered to the vehicle. A mining vehicle tracking system has to read those units, and Fleet Scanner does. The registration itself is done through your device vendor and the state portal.

Deviation

Off route, logged

Set the approved road once. Any departure from it is stored with a time and a place, so a genuine detour and a deliberate shortcut can be told apart later.

Tampering

Devices going quiet

Power cut, long silence or a unit that stops reporting mid trip raises an alert. Sudden gaps in tracking are treated as an event worth looking at, not as normal.

Royalty

Numbers you can defend

Trip counts by vehicle, by mine and by date export straight to Excel or PDF. That gives your accounts team a clean base for royalty and dispatch reporting instead of a stack of slips.

Renewals

Papers that chase you

Fitness, permit, insurance, PUC, road tax and driver licence dates sit in the compliance module with reminders, so a truck is never stopped over an expired paper.

Please note: Fleet Scanner records and organises the information your operation needs for reporting. It does not issue transit passes, calculate statutory dues on your behalf, or replace approved hardware, state portal registration or a mine safety programme. Mining rules differ between states and minerals, so confirm what applies to your lease with your state mining department and, for site safety, with DGMS guidance.

Not Only Mines

Who Uses Mining Fleet Management Software

Mining fleet management software is not only for large coal blocks. Energy sites have the same shape of problem as a mine. Heavy vehicles, remote locations, expensive fuel, and paperwork that has to survive an audit.

  • Open cast and quarry operators Coal, iron ore, limestone, bauxite, sand and stone. Trip counting, lease geofences and diesel control are the daily jobs.
  • Mine developers and contractors Firms running the pit for an owner, who have to show trip counts and machine hours before a bill gets cleared.
  • Transporters moving minerals Tipper fleets working between a mine and a plant, siding or port, where transit pass records and route proof decide whether a load is clean.
  • Power plants and cement works Inbound coal and limestone, outbound ash and clinker, plus the yard vehicles that move around inside the plant all day.
  • Oil, gas and LPG carriers Tankers and bowsers where route, halt time and unplanned stops matter as much as arrival time.
  • Solar, wind and grid teams Service vans and crew vehicles covering wide, thinly mapped sites, where the question is usually which team is closest to the fault.
Honest Comparison

Tally Sheets, Basic Tracker, or Fleet Scanner

A plain GPS unit is a real improvement over a register, and for a small quarry it may be enough without full mining fleet management software. The gap opens up once trips have to be counted, diesel has to be defended and records have to survive an audit.

FAQ

Mining Fleet Management Questions, Answered

Short answers to what mine managers and transport contractors ask us most often.

What is mining fleet management software?

Mining fleet management software tracks the vehicles and machines working at a mine, counts the trips they make, records diesel and engine hours, and stores the trip history that mineral transport rules are checked against. It is often called a mining vehicle tracking system as well. In Fleet Scanner the same platform also handles service schedules, tyres, spare parts and document renewals for the whole fleet.

Will it work where there is no mobile network?

Yes. A GPS device keeps recording position while it is out of coverage and stores those points inside itself. When the vehicle comes back into a signal area, the stored data uploads and the trip fills in. You see the full route afterwards rather than a broken line, which matters in deep pits and on remote haul roads.

Can it count trips and match them with the weighbridge?

Yes. You mark the loading point, the weighbridge and the delivery point as zones. Each run between them is counted as one trip with its own timings, so the software's count can be placed next to your weighbridge slips for the same day and any gap becomes easy to spot.

How does it help with transit pass and royalty records?

It keeps the trip evidence those records rest on: when the vehicle left the lease, which road it took, where it stopped and when it reached the delivery point, all exportable by mine and by date. Fleet Scanner does not issue transit passes or calculate statutory dues. Those stay with the state portal and your accounts team.

Can it detect diesel theft at a remote site?

It gives you the evidence to act on. Every bowser fill is logged against a machine, and where a fuel level sensor is fitted, a sudden drop while the vehicle is stationary raises an alert. Even without a sensor, litres compared against distance run or hours worked will show which machine has moved away from its usual pattern.

Does it track excavators and machines that stay inside the pit?

Yes. Excavators, loaders, dozers, drills, cranes and DG sets sit in the same asset list as road vehicles. For machines that do not travel, the useful numbers are engine hours, idle time and location inside the lease rather than distance, and service intervals can be set by hours instead of kilometres.

What happens if someone tampers with the GPS device?

A unit that loses power, stops reporting mid trip or goes silent for an unusual length of time raises an alert and is recorded in the tamper log. For any mining vehicle tracking system, ruggedised trackers rated for dust and vibration are worth specifying, since ordinary units struggle on haul roads.

Can we run it on our own server?

Yes. Fleet Scanner is available as a cloud plan and, on the Enterprise tier, as a self hosted or white label setup on your own server. Mining groups often choose self hosting so production and dispatch data stays inside their own network.
